Automating supplier purchase orders, invoice matching and stock

The short answer

Automating purchase orders means the system drafts a purchase order when an item reaches its reorder point, sends it to the supplier after manager approval, then reads the supplier invoice and matches it with the purchase order and goods receipt before payment. Injaz AI by Injaz Digital builds this cycle on top of the ERP or accounting software you already use, without replacing it.

Purchasing and finance managers say: “an employee spends two hours keying supplier invoices into the system by hand”, and ask: “how do I match the purchase order with what actually reached the warehouse and with the supplier's invoice?”. Their ERP knows purchase orders, but the request itself starts in a WhatsApp message, the quote arrives by email, the invoice is a photo or PDF, and the receipt sits in the warehouse notebook. That gap between channels and the system is what Injaz AI by Injaz Digital closes.

Why do purchase requests get lost between WhatsApp, email and Excel?

Purchase requests get lost because each step of the cycle lives in a different channel, and nothing ties it to the purchase order in the system. The item request comes from the warehouse on WhatsApp, supplier quotes sit in email, approval is verbal, and the supplier invoice is typed by hand. So a quantity that never arrived, or a price that was never agreed, is sometimes paid, and nobody notices until the stock count. Microsoft's three-way matching documentation describes the same problem: as transaction volume grows, discrepancies between receipts and invoices grow, because the process doesn't catch when fewer items arrive than were ordered, or none at all.

What is the automated purchasing cycle in five steps?

The automated purchasing cycle is five connected steps that the system starts by itself, with staff keeping the decision at set points. This is how Injaz AI builds it on a company's systems:

  1. A stock alert creates a draft purchase order: when an item reaches the minimum you set, the draft is created for the quantity that brings it back to the maximum, and Injaz AI ties this to your system's reorder rules where they exist.
  2. Approval, then sending to suppliers and collecting quotes: the manager approves with one tap from WhatsApp or email, the request for quotation goes to suppliers, and their quotes are gathered into one comparison table instead of searching through messages.
  3. Recording the goods receipt (GRN): the storekeeper records the quantity that actually arrived against the purchase order, from a phone or from the system.
  4. Reading the supplier invoice with AI: the invoice arrives as a PDF or photo, and Injaz AI's automation extracts the supplier, items, quantities, prices and tax, sending any unclear line to the accountant instead of guessing it.
  5. Three-way matching before payment: the invoice is compared with the purchase order on price and with the goods receipt on quantity; if a difference falls outside tolerance it stops with the person responsible, and if it matches it is posted to accounting.

What is three-way matching, and why does it come before payment?

Three-way matching compares the supplier invoice with the purchase order and the goods receipt before it is paid. Microsoft's documentation describes it this way: the invoice line price matches the purchase order line price within a tolerance the company sets, and the invoice quantity matches the quantity recorded on the product receipt. Odoo's documentation says it ensures a vendor bill is only paid once some or all of the products on the purchase order have been received.

Two-way matching compares the invoice with the purchase order only, so it misses quantities that never arrived. That is why Injaz AI sets three-way matching for the items and suppliers that need it, with the tolerances your finance manager decides, not ones we assume.

What is the difference between manual and automated purchasing on top of your ERP?

The difference is that automation moves data between channels and the system by itself, leaving staff only the approvals and exceptions.

How does Injaz AI build this cycle on your system without replacing it?

Injaz AI builds the purchasing cycle on the system you work on today, whether Odoo, Zoho, QuickBooks, SAP or a well-organised sheet, through its API. Purchase orders and invoices stay in your system; the automation moves data into it from WhatsApp, email and the warehouse, and sends alerts back out of it.

The standard we hold to at Injaz Digital: no invoice with a discrepancy is posted without approval, every step has a log showing who approved and when, and accounts and permissions are in your company's name.

What should you demand from any provider before automating purchasing?

Ask any provider for five things before they touch your purchasing cycle; they are what Injaz AI delivers on every project:

  • Integration with your existing system, not a new one you are forced onto.
  • Price and quantity tolerances set by your finance manager.
  • Human review of every discrepancy, and no guessing on unclear lines.
  • A full log of every purchase order, approval and invoice.
  • Linking invoices to e-invoicing where it applies, such as ZATCA Phase 2 in Saudi Arabia.

Why choose Injaz AI by Injaz Digital to automate your business?

  • We connect the systems you already have as they are: your CRM, accounting, spreadsheets, WhatsApp and invoicing, without replacing them.
  • We automate repetitive work end to end, so your team is freed from manual entry, reports and moving data around.
  • Human review where it matters, a log of every step, and accounts and permissions in your name.

FAQ

What exactly does Injaz AI build to automate purchase orders?

We don't sell you an off-the-shelf purchasing product. We build an integration flow on your own systems: it drafts the purchase order from a stock alert, collects approval and supplier quotes, reads the supplier invoice, and matches it with the purchase order and receipt before posting to your ERP or accounting.

Are invoices paid automatically after matching?

You decide. Commonly a matching invoice is posted to accounting by itself, payment stays with the responsible person's approval, and any invoice with a discrepancy stops with them.

What if the invoice arrives before the goods?

It waits until the goods receipt is recorded, then it is matched. No invoice is posted for a quantity not received.

Do we need an ERP to start?

No. If purchase orders live in accounting software or an organised sheet, we build the cycle on it, and move you to a bigger system when purchasing volume grows.
