Wholesale dealer and rep WhatsApp orders, automated to invoice

Updated 16/10/2026 · 6 min read · Injaz Digital team

The short answer

Automating wholesale orders on WhatsApp means a dealer's order, whether text, a voice note or a notebook photo, becomes a sales order in your system: items are matched to their codes, stock, the dealer's price tier and credit limit are checked, then the invoice is issued and the pick order reaches the warehouse. Injaz AI by Injaz Digital builds it on your existing inventory and accounting system.

In distributors and factories the same scene repeats: “the rep sends the dealer's order as a voice note or photo on WhatsApp, and items get lost”. A sales clerk listens to the voice note, deciphers the notebook handwriting, looks up each item's code, then types the order into the system. In the rush an item drops out or a quantity changes. Injaz AI by Injaz Digital makes the order enter the system the way the dealer meant it, without retyping.

Why do dealer orders get lost on WhatsApp?

Dealer orders get lost because WhatsApp is a chat channel, not an order system: no order number, no item code, and no status showing whether it was logged. Dealers write an item by its market name, not its system name, and a rep sends ten orders in one message. So manual entry stays the link where orders fall through. WhatsApp Business accepts an order in any form: a voice note up to 16MB, an image up to 5MB, a PDF or Excel file up to 100MB, according to Meta's documentation, and each needs someone to open and transcribe it.

How does a voice note or notebook photo become an order in your system?

The order becomes a record in your system through a six-step flow, each step checking before the next. This is the flow Injaz AI builds for wholesalers:

  1. Capture on arrival: the message, voice note and photo are saved on the company number the moment they arrive, because Meta's documentation states that media IDs in webhook notifications expire after 7 days.
  2. Understanding: the voice note is transcribed, the notebook photo or list is read, and each item, quantity and unit (carton, piece, pack) is separated.
  3. Item matching: each name the dealer wrote is linked to a SKU in your system, and anything that doesn't match with confidence is asked about before confirmation.
  4. Checks: available stock, this dealer's price tier, and their credit limit and outstanding balance.
  5. Confirmation: the dealer receives the order summary with prices on WhatsApp and approves with one tap, with alternatives offered when an item is short.
  6. Execution: the sales order is created, the invoice is issued, the pick order reaches the warehouse, and the rep knows the order is in.

How are colloquial item names matched to SKUs?

Colloquial names are matched with an item dictionary built from your dealers' past orders that learns from every correction. A dealer writes “the big red carton” or just the brand, and the dictionary knows which code this particular dealer means. When it is torn between two items it doesn't choose alone: it asks one short question. That rule underpins every order flow Injaz AI builds: no guessing on an item or a quantity.

How are stock, tier price and credit limit checked before confirmation?

All three are checked from your system at the moment of the order, not from an old sheet. Stock comes from the current warehouse balance, the tier price from this dealer's price list, and the credit limit from their outstanding balance. Accounting software supports this itself: Zoho Books, for example, lets you set a credit limit per customer, and warns about or blocks sales orders and invoices that exceed it.

If the order exceeds the limit, it isn't rejected in front of the dealer without explanation: it goes to the sales or finance manager to decide, and the dealer is told the order is awaiting approval.

What happens after confirmation: the e-invoice and the pick order?

After confirmation the system completes the path by itself through to the invoice and pick order. In Saudi Arabia, the detailed e-invoicing guideline requires in the integration phase that every tax invoice is cleared by the Authority before it is shared with the buyer, so the invoice is issued from the e-invoicing solution connected to your system, not from a separate file.

How does Injaz AI build wholesale ordering on your system?

Injaz AI builds the ordering flow on your company's WhatsApp number and the inventory and accounting system you work on, such as Odoo, Zoho, QuickBooks or SAP, through their APIs. We start with your item dictionary and tier prices, test the flow on real orders alongside manual entry, then the sales clerk moves from typing to reviewing exceptions. The flow runs on your server, with accounts in your company's name.

This is different from connecting WhatsApp to your CRM: that logs the customer, the chat and the stage; this enters the order itself, with its items and prices, through to the invoice. Many wholesalers need both.

Why choose Injaz AI by Injaz Digital to automate your business?

  • We connect the systems you already have as they are: your CRM, accounting, spreadsheets, WhatsApp and invoicing, without replacing them.
  • We automate repetitive work end to end, so your team is freed from manual entry, reports and moving data around.
  • Human review where it matters, a log of every step, and accounts and permissions in your name.
  • From Injaz Digital: over 15 years in the Arab market, with offices in Cairo, Dubai and Riyadh.

FAQ

Does the dealer need a new app?

No. Dealers order on WhatsApp as they do today, by text, voice note or photo.

Can the system message dealers at any time?

It replies freely within 24 hours of the dealer's last message, WhatsApp Business's customer service window. Outside it, it sends approved templates only, such as an order or shipping confirmation.

What if a dealer orders an out-of-stock item?

It offers what is available or an alternative, or logs the order for the next restock, according to the rule you set.

Does it work with field reps' orders?

Yes. A rep sends several dealers' orders, and each is separated and attributed to its dealer and rep.
