Rule-based chatbot, AI chatbot or ChatGPT for customer service? The methods compared

Updated 14/10/2026 · 6 min read · Injaz Digital team

The short answer

A rule-based chatbot answers from fixed menus and paths, enough for a few repeated questions. A custom AI chatbot understands questions in your customers' wording and dialects, answers from your business knowledge, books, updates your systems and hands over to a person when needed. General ChatGPT answers from general knowledge that doesn't include your prices and hours, and Meta's terms bar offering a general AI assistant as the primary service over the WhatsApp Business Platform.

Clinic and store owners ask: “should I build a menu bot or an AI bot?” and “why not just connect ChatGPT to WhatsApp?” The answer depends on one thing: how much of your team's work you actually want the bot to take off them.

What is the difference between the three methods?

The difference is where the answer comes from: fixed menus, your business knowledge, or general knowledge. This is the comparison:

Rule-based chatbotCustom AI chatbotGeneral ChatGPT

Can you connect ChatGPT itself to your company's WhatsApp?

Not as a general assistant. Meta's terms for the WhatsApp Business Platform bar providers and developers of AI technologies from using the platform to offer them when they are the primary functionality on offer, rather than incidental or ancillary, and Meta decides this. Your company's own chatbot serving its customers within its business is a different case: the AI in it is a tool for serving your customers, not a product you offer.

Where does your customers' data go?

Where the data goes depends on the method. OpenAI says data sent through its API is not used to train its models by default, and that abuse-monitoring logs are kept for up to 30 days. A custom chatbot can be installed on your own server, so the conversations and the knowledge base stay with you.

That is why the Injaz AI chatbot is installed on your server, so your customers' conversations stay with you.

What does each option take off your team?

A rule-based chatbot takes the few fixed questions; a custom AI chatbot takes most of the repetitive customer-service work:

  • Answering repeated questions in your customers' wording and dialects, at any hour.
  • Booking appointments and orders and sending reminders without anyone typing them.
  • Logging every customer and request in your system automatically instead of copying chats by hand.
  • Handing sensitive questions to the right team member with a summary of the chat.

This is what Injaz AI by Injaz Digital builds: a chatbot that learns from your policies, products and customer questions, replies in their dialect, connects to your systems and is installed on your server. Your team is freed from the repetitive work and has time for the cases that need it.

What does each option cost?

With all three options you pay Meta's fee on every delivered message, by its category and the customer's country. Meta says a business using another provider's AI solution typically pays for that usage separately from message fees. A chatbot from Injaz AI starts from $1,000, with no monthly platform subscription. Details are in our article on what a WhatsApp chatbot costs.

When is a rule-based chatbot enough?

It is enough when the questions are few and fixed, such as opening hours, the address and an order status by number, and you need no booking and no system connection. When wordings and dialects multiply, or you want the bot to book and log customers, a custom AI chatbot is what actually takes the work off.

FAQ

Does an AI chatbot make mistakes?

It can if its knowledge isn't organised, which is why it is built on your reviewed business knowledge and hands questions it can't answer, or sensitive ones, to a team member.

Can I start with a rule-based chatbot and upgrade later?

Yes, but a custom AI chatbot covers the fixed questions too, so starting with it saves you building twice.

Does an AI chatbot reply in dialects?

Yes, it understands your customers' wording and dialects and replies in their language, while a rule-based bot stumbles outside the programmed words.

Are my customers' chats used to train AI models?

OpenAI says its API data is not used for training by default. With a custom chatbot on your server, the conversations stay with you.
