The short answer
Excel breaks YouTube reports because it treats IDs as numbers or formulas: it turns a Video ID starting with a dash into a broken formula, cuts long numbers after 15 digits, ignores letter case in lookups, and holds no more than 1,048,576 rows. The UC prefix also differs between files, so matches fail and channel revenue goes missing.
Accountants ask: “Why does Excel remove UC from the Channel ID?” and “A video starting with a dash became #NAME, what happened?”. These are not rare errors. According to the YouTube reports Injaz Digital has received up to October 2026, July alone had more than 15 thousand Video IDs starting with a dash and more than 38 thousand asset cells holding several IDs separated by |, all of which Excel rewrites on save unless the columns are kept as text.
What do YouTube IDs look like?
| ID | Format | What breaks it |
|---|---|---|
| Channel ID | 24 characters starting with UC, e.g. UCxxxxxxxxxxxxxxxxxxxxxx | Files that drop UC, leaving 22 characters |
| Video ID | 11 characters from the URL-safe base64 alphabet: A–Z, a–z, 0–9, dash and underscore | A leading dash, and letter case |
| Asset ID | A long ID; a cell may hold several IDs separated by | | Long numbers and the separator |
YouTube Help notes in the Claims report that a field with more than one value separates its values with |, so one cell can hold several assets, not one.
Which seven failures does Excel cause?
- The UC prefix trap: revenue reports carry Channel IDs with UC while some exports and archives drop it, so lookups and joins fail and the channel's revenue lands in “unknown”.
- A leading dash: a Video ID like -AbC123xyZ9 is read by Excel as a formula, shows #NAME? and the ID is lost.
- Letter case: YouTube IDs distinguish A from a, but Excel lookups (VLOOKUP, XLOOKUP) do not. We have met two IDs differing only in the case of one letter, which a case-insensitive match treated as one.
- Long numbers: Microsoft says Excel turns every digit after the fifteenth into zero in a long number.
- The | separator: an asset cell holding several IDs can be split or altered on save, mixing assets.
- The row limit: an Excel sheet holds 1,048,576 rows, and a large network's monthly claims file passes two million lines, so the file is silently cut.
- Spaces in Arabic names: after a save-and-reopen round trip in Excel, leading and doubled spaces appear inside Arabic names, so a name no longer matches itself.
How do you protect YouTube IDs in spreadsheets?
- Import the files with ID columns set to text before any open or save; changing the format after the damage does not bring anything back.
- Turn off automatic data conversions in Excel's settings if your version offers it.
- Make the UC prefix consistent across all files before any join: with it everywhere or without it everywhere.
- Use a case-sensitive lookup when matching IDs.
- Normalize spaces in names before comparing them.
- Do not open files beyond Excel's row limit in Excel at all.
Why does YouTube revenue accounting need a system, not a spreadsheet?
Because each of the seven failures passes silently and shows up after payment. One file that lost UC from every ID is enough to stop a whole month's calculation. That is why Injaz Digital moved its network's accounting from Excel to an automated system that reads IDs as text exactly as they arrived, respects letter case and rejects a broken file before it enters the calculation, so the month now closes in about half an hour instead of two weeks.
Injaz AI by Injaz Digital builds this system for networks and record labels around how their accountants work: manual copying and ID repairs disappear, and the team gets back figures that never change by mistake.
FAQ
Why does Excel drop UC from the Channel ID?
Excel itself usually doesn't, but many files and archives store the ID without UC (22 characters), so lookups against revenue reports that carry it (24 characters) fail. Make the prefix consistent before any join.
Why does #NAME? appear instead of a Video ID?
Because the ID starts with a dash and Excel reads it as a formula. Set the column to text before opening the file.
Are YouTube IDs case-sensitive?
Yes. They use A–Z, a–z, 0–9, dash and underscore, and A is not a. Excel lookups do not tell them apart.
How many rows can Excel hold?
1,048,576 rows per sheet according to Microsoft, and a large network's monthly claims file exceeds that.
