The short answer
n8n is a fair-code licensed workflow automation tool that combines AI features with business process automation. You build a flow that starts with an event, such as a WhatsApp message, passes through steps that move data to your systems or an AI agent, and ends in a reply or an update. It runs on n8n Cloud or on a server you manage.
Business owners and operations managers ask: “what is n8n?” and “I want to connect WhatsApp to my booking system, how?” The answer is shorter than they expect: n8n is the tool that links an event to its steps, and what matters after that is what you build with it.
What is n8n?
n8n is a workflow automation tool licensed as fair-code that combines AI features with business process automation, according to its official documentation. A flow consists of a trigger that starts it, then nodes that carry out the steps one after another. The documentation says n8n includes a collection of built-in integrations and hundreds of nodes that link multiple products, and lets you install community-built nodes.
What are n8n's main building blocks?
Every n8n flow is built from seven main blocks, and this is what its documentation says about each:
| Block | What it does, per the docs | Example use |
|---|---|---|
| Webhook | Creates a URL that receives data from apps and services when an event occurs, and starts the flow. | Receiving a request from a form on your site. |
| Schedule Trigger | Runs the flow at fixed intervals and times, from seconds to months or by a cron expression. | A daily report each morning. |
| WhatsApp Trigger | Starts the flow on WhatsApp events, including messages and template status. | A new message arriving from a customer. |
| WhatsApp Business Cloud | Send a message, send and wait for a response, send a template, and upload, download and delete media. | Replying to a customer or sending an appointment reminder. |
| HTTP Request | Requests data from any app or service that has a REST API. | Reading an order or updating a record in your system. |
| Code | Runs JavaScript or Python inside the flow to transform data or add logic. | Formatting a phone number or calculating an amount. |
| AI Agent | Connects a chat model to one or more tools, and the agent decides which tool to call to complete the task. | An agent that answers a question after querying your system. |
What does a company automate with n8n?
A company automates with n8n any repetitive task with a clear start and end, and these examples map to the blocks above:
- Logging incoming WhatsApp messages in a sheet or your customer system and replying at once: WhatsApp Trigger, then HTTP Request, then Send message.
- Appointment reminders sent as WhatsApp templates on time: Schedule Trigger, then Send Template.
- Periodic reports collected from your systems and sent to your team on WhatsApp: Schedule Trigger, then HTTP Request, then Code, then Send.
- Updating your system when an order arrives from your site or another service: Webhook, then HTTP Request.
- An AI agent that answers customer questions with tools that link it to your systems: AI Agent with one or more tools.
- A step that waits for human approval before continuing: the Send and Wait for Response operation in the WhatsApp node.
How does n8n connect to WhatsApp?
n8n connects to WhatsApp through Meta's WhatsApp Business Cloud API, and n8n's documentation requires three things at Meta first: a developer account, a business portfolio, and a business app set up with WhatsApp. After that you follow five steps:
- Create WhatsApp Business Cloud credentials in n8n. With the API key method you enter the Access Token and Business Account ID; with OAuth2 you copy the App Secret.
- Add a WhatsApp Trigger node and choose the Messages event so the flow starts when a message arrives.
- Add the processing steps: a query to your system with HTTP Request, an AI agent, or logic in a Code node.
- Add a WhatsApp Business Cloud node to send the reply, or send a template if the 24-hour window is closed.
- Test with the test URL, then publish the flow so it runs on the production URL.
A warning from n8n's docs: WhatsApp allows only one webhook per app, and switching between the test and production URLs overwrites the registered webhook. A published flow that is being tested at the same time may receive no events.
n8n does not change Meta's message fees, which follow the message category and the recipient's country whatever the automation tool. The rates for each country are in our WhatsApp Business API pricing article, and the full cost of a bot in our WhatsApp chatbot cost article.
Where does n8n run, and what does it cost?
n8n runs on its managed cloud or on infrastructure you host yourself, and the cost differs by option. This is what n8n's documentation says about the options:
| Option | What it means | Cost, per n8n |
|---|---|---|
| n8n Cloud | A fully managed service for those who want to start right away and not manage infrastructure. | A 14-day free trial, then Starter, Pro and Enterprise plans. |
| Self-hosted: Community | You run n8n on your own infrastructure, on-premises or in a private cloud, with an almost complete feature set. | Free without a license key. |
| Self-hosted: Business and Enterprise | Extra features such as SSO, environments and projects, and wider security and governance. | A paid licence key. |
n8n is licensed as fair-code, so read the licence terms in its documentation before any commercial use. The documentation points to the official pricing page for current features, limits and prices.
What do you demand from an automation provider before signing?
Ask any provider for six things in writing; they separate a flow that works today from one your company can rely on:
- Accounts and permissions in your name: the Meta account, credentials and n8n under your control, not the provider's.
- A log of every step: n8n lets you review runs in the Executions tab, so a provider that cannot show you the run log does not know what is happening.
- Human review where it matters: steps that wait for a team member's approval before a sensitive reply or a financial action.
- A hosting location you choose: n8n Cloud or your own server, with customer data where you decide.
- Clear error handling: what happens if your system is down or WhatsApp rejects a message?
- Documented flows handed to you: your company does not depend on one person to understand what was built.

- We build n8n workflows that connect your channels, systems and AI models, with human review where it matters and a log of every step.
- We connect the channels and systems you already use, such as your CRM, accounting, spreadsheets and WhatsApp, without replacing them.
- We start with a session to pick the highest-impact tasks, and tell you plainly what is not worth automating.
- And if you want a WhatsApp bot that answers your customers, the Injaz AI chatbot starts from $1,000 as one payment, with no platform subscription.
